Prepare a message people expect to receive.

A useful WhatsApp template starts with the customer’s reason for hearing from you. Separate the message purpose, recipient permission and operational follow-up before asking for template approval.

Write the purpose before the wording

State who receives the message, what prompted it and what the customer should do next. A promotional offer and an update about an existing request are different purposes. A generic sentence with variable fields does not by itself establish that a message is a utility update.

Review the appropriate category

WhatsApp describes marketing, utility and authentication message categories. Select a category based on the real purpose and content, then review the applicable requirements. Do not disguise promotional content as a service update or promise that a template will receive a particular classification.

Keep permission connected to the audience

The WhatsApp Business Messaging Policy requires the recipient’s number and opt-in permission for subsequent messages or calls. Keep enough context to establish what the person agreed to, and honour requests to stop. A purchased contact list is not evidence that its recipients asked to hear from your business.

Understand replies and template use

The platform policy permits replies without a template within 24 hours of the last user message. Outside that window, approved templates are required. Review the current rules and message pricing for the actual workflow, rather than treating a saved draft as permission to send it at any time.

Provide examples and a receiving team

Prepare realistic sample values, a clear business identity and the next action. Review how the message reads when the optional details are short, long or unavailable. Assign a team to handle the response and explain any working-hours limitation before the customer waits for a confirmation.

Plan for review and changes

Templates can be reviewed, rejected, paused or changed in status. An approved template does not guarantee delivery, account eligibility or a business result. Keep a responsible owner for template updates, audience permission and customer feedback; avoid claims of an anti-ban or zero-risk setup.
