Start with a focused flow
Choose one common job: capture an enquiry, collect a booking preference, answer a routine question or route a service request. Write the successful path and the exception path before building a longer automation.
Ask only what helps the next action
A qualification flow should collect useful details without turning a conversation into a long form. Product interest, location or preferred appointment time may be enough to route an enquiry. Avoid asking for sensitive information that is unnecessary for the workflow.
Make human handover easy
A customer should be able to ask for help when an automated reply does not resolve the issue. Define the receiving team and the context to include. Test unexpected answers as well as the ideal conversation.
Separate rules from AI capabilities
Menu-based flows, fixed replies and AI-generated responses have different requirements. Describe the behaviour you need and confirm what is available in the proposed setup. Do not assume that every chatbot includes autonomous AI agents or every communication channel.
