For a sales enquiry, ask about the model or listing and preferred branch. For a workshop request, establish the service required and the information your team needs to identify the vehicle. Collect further documents only through the process agreed with the business.
Treat appointments as requests until confirmed
A preferred date is not a reserved workshop bay or test-drive slot. Let the responsible team check availability and confirm the arrangement. If a scheduling connection is required, define which system holds the booking and how changes or cancellations are communicated.
Keep campaign replies with the right advisor
A campaign may promote a vehicle range or seasonal service offer. Preserve the context of the enquiry when assigning it to a colleague. Review customer permission and messaging requirements before a follow-up campaign; a past repair does not justify unrelated messages indefinitely.
Scope the systems and reporting
Discuss whether staff need to see inventory, appointment or customer records and confirm the available integration route. Define an enquiry, a confirmed appointment and a completed visit separately. A conversation count alone does not show the number of vehicles sold or services completed.
